The PVI Retail Shop Assistant is responsible for & required to oversee and execute the daily operations and promote sales of the Golf Shop; including related services and administration for smooth & exceptional guest experience & service. Execute related services & functions and direct run operations in the shop through meticulously looking after clients & operations in a timely manner and efficiently resolving any problems, queries or deviations from normal operations for clients.
CLIENT SERVICE & RELATIONSHIPS
1. Primarily be visible in the different retail areas 80%-90% of the time attend to clients in the shop.
2. Collaborate & develop relationships with clients and other departments to integrate shop activities with business systems or processes.
3. Handle & resolve customer complaints & problems immediately & keep record of complaints & resolutions
Keeping clients informed.
SHOP SERVICE MANAGEMENT
1. Execute & Run comprehensive Golf Shop activities & functions.
2. Keep abreast with retail shop & stock item trends & brands in the local and international golfing and sports industry.
3. Strive to meet sales goals and targets for the shop weekly and monthly.
4. Seek ways to better promote the store, the product line and service within the Shop & retail items.
5. Set and improve operations, such as: aesthetics, service, safety, staff performance and quality management.
6. Always welcome visiting guests and returning guests.
7. Ensure daily duties listed, are done in time and efficiently according to procedure and instructions.
8. Liaise with vendors & suppliers on activations or any specials, on offer and arranging of set up for activations.
9. Implement any reasonable request from management to assist or do any task to advertise or promote PVI.
10. Ensure that you are familiar with the current stock and specials or promotions.
GOLF BOOKINGS MANAGEMENT
1. At all times adhere to the golf bookings and payment terms, policies and procedures of PVI.
2. Accept & record correct payments for green fees for players.
3. No deviation from fees is allowed unless explicitly approved by the Director of Golf.
4. Continuously keep open & efficient communication lines with golf booking staff and check details of bookings.
5. Answer phones and take bookings as required in line with policies and procedures.
6. No POP may be accepted for pre-payments unless it is checked and approved by the finance manager.
1. Able to facilitate Wednesday and Saturday club competitions scoring; incl. 9 and wine scoring and assist with prize giving and corporate day scoring.
2. Scoring includes going through detailed scorecard checks such as checking players Handicaps, hole by hole totals as well as each 9 holes totals.
3. Small golf groups may also need scoring assistance if stated on the function sheet from the Events Coordinator.
4. Ensure score sheets are saved and sent to Graydon and the captains.
5. Load the players’ winnings onto their club accounts after a Wednesday and Saturday competition.
6. Ensure that the pin sheets are completed correctly and ensure that the pins are updated on the visage system.
STOCK & COST SAVINGS
1. Continuous service and upselling training to be done; including setting of daily selling targets.
2. Communicating with vendors about inventory orders and inform your manager of relevant orders or stock requirements.
3. Ensuring the stock taking and compiling of stock sheets for stock is done in line with procedure or instructions.
4. Monthly stock taking of all retail items and lines.
5. Maintain proper inventory levels, while focusing on desired product levels assigned for the Shop. Implement purchasing plans and maintain contact with suppliers to ensure maximum efficiency in meeting sales goals.
6. Manage all controllable costs with a view of maintaining profitability.
GENERAL ADMINISTRATION
Daily administrative functions.
2. Resolve staff grievances and problems with your manager and/or refer to their superior & HR where relevant.
3. Check work schedules & weekly schedules to be available on shared group.
4. Sign-off on relevant timesheets and overtime clocked daily.
5. Ensure that cash-ups are done correctly according to company standards.
6. Respond to general enquiries that the shop receives or special guest requests.
7. No discounts of retail item to be given without the Shop Managers explicit permission.
8. Ensure you always comply with company policies and procedures.
9. Ensure that you practice common curtesy and respect towards fellow employees and work as a team in line with PVI values and culture of recognition, attention to detail, product/service knowledge and resilience.
